Hive Colab is a collaborative technology and business development space for IT professionals and entrepreneurs across Uganda. Founded in 2010 as part of the Appfrica Labs’ software incubation initiative, it is currently home to over 10,000 members. Over 50 social technology and business enterprises have been created in the last three years and supported by Hive Colab through economic empowerment.
Hive Colab has been a major contributor to local capacity building, creating local jobs, improving access to capital, and encouraging innovation by fostering a culture of collaboration to build a vibrant technology community in Uganda. Job Summary
The People & Culture Associate works within the People and Culture department to build our organisational capacity and ensure we are creating an environment where our team can realise their full potential. The successful candidate will bring knowledge and experience in providing support across key functional areas such as recruitment, employee relations, employee engagement, and performance management.
Ultimately, you will help foster a healthy workplace by ensuring our HR procedures run smoothly at all times. This role offers significant opportunities for growth, and the successful candidate must be passionate about continuous learning and growing with the organisation.
Job Responsibilities
1. Recruitment and Talent Acquisition
- Coordinate end-to-end recruitment activities, including drafting and posting job advertisements across appropriate platforms.
- Receive, screen, and manage job applications to ensure an efficient and transparent recruitment process.
- Schedule interviews and assessments, communicate with candidates, and coordinate interview logistics.
- Prepare interview packs, evaluation forms, and candidate summaries for hiring managers.
- Conduct reference and background checks and compile recruitment documentation.
- Support onboarding preparations for successful candidates and maintain recruitment records and databases.
2. Performance Management
- Coordinate the organisation's performance management processes and timelines.
- Support supervisors and staff in setting clear performance goals, objectives, and expectations aligned with organisational priorities.
- Monitor probation periods and ensure probation reviews are conducted and documented within the required timelines.
- Track completion of performance evaluations and provide timely reminders to supervisors and employees.
- Maintain accurate performance records and generate reports to support management decision-making.
- Support the implementation of performance improvement plans where required.
3. Onboarding and Offboarding
- Coordinate the onboarding process for new employees to ensure a smooth integration into the organisation.
- Prepare and share welcome communications and onboarding schedules with new hires.
- Create and maintain complete employee personnel files and onboarding documentation.
- Organise orientation sessions and ensure new employees receive relevant organisational information, policies, and tools.
- Coordinate employee exit processes, including clearance procedures, exit interviews, and retrieval of company assets.
- Ensure all offboarding documentation is completed, filed, and maintained appropriately.
4. HR Policy Implementation and Compliance
- Support the review, development, and updating of HR policies, procedures, and employee handbook provisions.
- Ensure compliance with applicable labour laws, organisational policies, and donor requirements where applicable.
- Provide guidance to employees and supervisors on HR policies and procedures.
- Maintain audit-ready HR records and documentation to support internal and external compliance reviews.
- Ensure confidential and secure handling of employee information in accordance with data protection and organisational standards.
5. HR Administration and Records Management
- Maintain accurate employee attendance, leave, and absence records.
- Update and manage employee information within the HR database and personnel filing systems.
- Prepare employment contracts, contract amendments, confirmation letters, and other HR correspondence.
- Ensure employee files are complete, accurate, and up to date at all times.
- Support payroll administration by providing accurate employee data and documentation as required.
- Monitor key HR deadlines, including contract renewals, probation reviews, and mandatory compliance requirements.
6. Employee Relations and Staff Engagement
- Serve as the first point of contact for routine employee inquiries and HR-related support.
- Promote positive employee relations by providing timely and professional support to staff and supervisors.
- Maintain confidentiality when handling sensitive employee matters and information.
- Support employee wellness, engagement, recognition, and team-building initiatives.
- Assist in resolving workplace concerns and escalating issues appropriately when necessary.
- Support the implementation of employee feedback and engagement programmes.
7. Compliance and Documentation Management
- Ensure all HR documentation is accurately completed, filed, and maintained in accordance with organisational requirements.
- Prepare and organise personnel records and supporting documentation for audits and compliance reviews.
- Track and monitor key employee lifecycle activities, including probation, contract renewals, and mandatory training requirements.
- Maintain document retention schedules and ensure compliance with internal policies and legal requirements.
8. HR Reporting and Analytics
- Collect, verify, and analyse HR data for monthly, quarterly, and annual reporting.
- Prepare reports and summaries on recruitment, onboarding, attendance, leave management, staff turnover, and performance management.
- Maintain HR metrics and dashboards to support workforce planning and decision-making.
- Provide accurate HR data and insights to management to support organisational planning and compliance reporting.
- Identify trends and recommend improvements in HR processes and employee experience initiatives.
Job Qualifications
- Bachelor’s degree in Human Resource Management, Industrial & Organisational Psychology, Business Administration, or a related field, or equivalent work experience.
- 2–3 years of work experience in Human Resource Management or related fields.
- Ability to maintain confidentiality for sensitive people-related issues and use sound judgement in executing duties and responsibilities.
- Ability to work collaboratively and maintain positive relationships with team members, subcontractors, and beneficiaries.
- Ability to work with a sense of urgency and commitment to continuous improvement in People Operations.
- Ability to work independently with initiative and manage high-volume workflows with minimal supervision.
- High levels of professionalism, integrity, and ethical conduct.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to plan and prioritise work effectively while meeting tight deadlines.
- High attention to detail and accuracy.
- An agile trainer who is willing to both train others and continuously learn.
- Proficiency in automation systems such as Google Workspace (GSuite) and Microsoft Office.
